Whilst financial information will be provided on a timely basis, you will be offered significant savings to your accounts department costs. We also provide you with our up to date computers FREE of charge as a part our service for you to fully appreciate our service 24 hours a day, 365 days a year. You can have all the information in a standard form or as customised reports to suit your requirements.

Your staff or our designated staff will transmit the information to us by courier, post, fax, email or by uploading files to our secure servers. The choice of the method to be used is to be decided by you.

We operate a sophisticated electronic diary system where we will record all the activity pertaining to your accounting functions. The system issues automatic prompts on a regular basis, to all persons responsible for your work, to ensure the timely delivery of all work, without the need for you to remind us.

All input data that enters our system is logged, recorded and stored electronically ready for processing. The processing team will study the said information and will resolve any queries that they have before entry into the accounting system. All work processed will be checked for accuracy and quality of presentation at least 3 times before the work is published and is accessible by you. We have dedicated staff who research on how to improve on our processing, reporting, storage and communication systems on a daily basis.

You can access your company information via the internet from anywhere in the world, 24 hours a day, 365 days a year under strict security protocols. The data accessed by you, can be stored in your local computer for your use and analysis. Should you wish to have hard copies of your reports on a regular basis, this also can be arranged.

We prefer not to remove any documents or hard copy originals from your organisation. All input data that is converted into an electronic platform, all accounting ledgers and final reports are loaded up to our servers on a regular basis forming a comprehensive filing system which can be accessed by you at any time. All our servers are backed up automatically on a daily basis to 4 different locations internationally to avoid the problems of a server failure at any one location. To maintain confidentiality and security of information, all servers are protected by strict security protocols.

SKILLS
We have simplified the process of working with us to a few straight forward steps. We will guide your staff at the outset and on a continuous basis of the procedures and the improvements thereon.

Communication between Whitehills Associates and you can be by email, phone, a dedicated internet phone connection , fax, mail or courier. We hope to introduce the video conferencing facility in 2006

We charge a standard flat fee to include all our costs and this fee will be fixed for a minimum period of 6 months. Should there be a material change in the volume of work, we would reduce our fees and would seek the co-operation of the client to provide for an increase in the fees in the case of an increased volume of work.

TERMS
We are very flexible in our association with you, but would appreciate a 3 month notice period and we would do the same although the period of notice as per our standard terms and conditions is one month.

We would provide you a copy of our terms and conditions at the time you decide to enter into a contract for our services.
